Job Description

The Education Administrator is responsible for delivering efficient, accurate, and timely administrative and operational support across the organisation’s education and training functions. The role plays a key part in coordinating program activities, financial processes, student administration, and stakeholder communications to support the effective delivery of training and workforce development initiatives.

Reporting to the Education & Workforce Development Manager, the Education Administrator also provides direct support to the Registered Training Organisation (RTO) Manager, with primary responsibility for coordinating administrative functions across both the Queensland Apprentice Jockey Program (QAJP) and the Racing Queensland RTO 31452.

The Education Administrator ensures that systems, processes, and communications are managed consistently and in alignment with organisational and regulatory requirements, contributing to high-quality service delivery and compliance outcomes.

Job Responsibilities

Education & Training Administration
Providing efficient and accurate administrative support to the Education & Workforce Development Manager and RTO Manager across all education and training activities.
Delivering effective coordination of workshops, training activities, and program logistics to support the QAJP and RTO operations.
Supporting the delivery and administration of the Queensland Apprentice Jockey Program (QAJP).
Monitoring and following up outstanding documentation and delegations to ensure completeness, accuracy, and compliance with organisational and regulatory requirements.
Preparing and distributing training contract expiry reports from relevant state portals, identifying upcoming expiries and notifying Industry Educators in a timely manner.
Managing departmental calendars, travel bookings, and scheduling to support operational efficiency across the education team.

Financial Administration
Completing financial administration tasks, including purchase orders, invoicing, receipting, reimbursements, and credit card reconciliation in line with organisational requirements.

Student & Systems Administration
Coordinating student administration within the Student Management System (SMS), ensuring accurate enrolments, invoicing, and payment receipting.
Maintaining accurate records and data integrity across systems to support reporting, compliance, and audit requirements.
Contributing to continuous improvement of administrative processes to enhance efficiency, service delivery, and compliance outcomes.

Stakeholder Communication
Acting as the first point of contact for education enquiries, managing the training inbox and phone communications, and triaging or escalating matters as required.
Communicating with external stakeholders including students, employers, schools and parents on education related issues and topics.
Maintaining effective and professional relationships with internal and external stakeholders, including students, employers, schools, and industry representatives.
Acting as a reliable first point of contact for education enquiries, ensuring clear communication, responsiveness, and appropriate escalation of matters.
Building collaborative working relationships with the Education team, QAJP staff, and RTO personnel to support coordinated program delivery.
Supporting positive stakeholder engagement by ensuring timely, accurate, and consistent communication across all education and training activities.

Anticipating emerging risks and ensuring risk mitigation strategies are identified and implemented in accordance with RQ’s risk appetite.
Ensuring compliance with relevant legislation, RQ policies, procedures, standards and maintaining effective governance and control to ensure that legal and regulatory obligations are met.
Fostering a culture that promotes ethical practices, demonstrates industry-centric service delivery and values and recognises employee contribution.
Ensuring the safety of self and others in accordance with applicable Racing Queensland guidelines and relevant Workplace Health and Safety legislation.

Job Requirements

Experience & Skills
Demonstrated experience in an administrative or coordination role within a training, education, or similar environment.
Experience in financial administration processes, including invoicing, purchase orders, and reconciliations.
Proven ability to manage multiple priorities, meet deadlines, and maintain a high level of accuracy and attention to detail.
Strong experience using systems and databases, with the ability to maintain accurate records and support data integrity (experience with Student Management Systems is highly regarded).
Well-developed written and verbal communication skills, with the ability to respond to enquiries professionally and clearly.
Proven ability to build and maintain effective working relationships with a range of internal and external stakeholders.
Knowledge and understanding of the racing industry and/or vocational education and training (VET) sector is desirable.

Qualifications
Certificate III in Business Administration, Business, or a related field, and/or demonstrated experience in a general administration or coordination role is required.
Willingness to upskill and develop knowledge in vocational education, training administration, and RTO operations.

Special Requirements & Working Conditions
Must undergo a criminal history check, Queensland Blue Card, and Working with Children checks in Tasmania and South Australia or obtain them upon commencement.
Must always abide by the RQ RTO Child Protection Code of Conduct and RTO Child Protection Policy.
May be required to work on weekends and outside standard hours when reasonably required.
Demonstrated understanding of, or willingness to learn about, the sport of racing and the nuances associated with the industry.
Commitment to ongoing professional development relevant to the position within the RTO.
Mental health first aid training is required or willingness to obtained upon commencement.
Holding a current driver’s licence is desirable.
